Use quotes with a defined scope

Ask whether the offer covers port-to-port, airport-to-airport, or door delivery. Identify the currency, validity period, proposed service, and charges payable separately. An ocean rate alone is not the landed cost.

For LCL, compare the chargeable measure and minimum charge along with origin and destination consolidation handling. For FCL, review equipment size, drayage, loading and unloading responsibilities, and free-time conditions. Brokerage, duties, inspections, storage, and insurance may need separate provision. Do not treat a generic per-unit number as an all-in offer.

Keep the budget separate from a booking

A budget estimate helps compare sourcing options; a confirmed booking requires current availability and agreed terms. Rates and surcharges may change before cargo is ready. Keep the estimate date and assumptions beside the number so procurement and finance can see when it needs refreshing. Ask what happens if readiness slips beyond quote validity.

There is no universal saving from replacing LCL with FCL or moving to another port. Compare the full shipment scope and the commercial cost of delay. An alternate gateway can add trucking or handling that outweighs an apparently lower main-carriage rate. A partial air shipment may be worth evaluating when only a small portion of inventory is urgent.

Review a clear next action

Refresh the quote when the cargo profile, origin, destination, service, or booking date changes. Record unresolved document and receiving requirements before approval.
